A racing simulator at an event does something a bouncy castle or a photo booth does not: people stand and watch someone else. A leaderboard appears, rivalry appears, and a reason to come back to your stand appears. Here is what it involves in practice.
What it costs
Our rates at the time of writing, excluding VAT:
- One simulator: € 750 for a day, € 1,250 for a weekend, € 2,500 for a full week
- Two simulators: € 1,250 a day, € 2,000 for a weekend
- Four simulators: € 2,250 a day, € 3,500 for a weekend
The daily rate drops the longer you hire, and transport, set-up, take-down and staff on site are included. That last one is not a detail: a simulator without someone operating it turns into a queue of people who do not know how to start within the hour.
How many people fit on one?
Count on four to six drivers per simulator per hour with short sessions of eight to ten minutes, including swapping over and a word of explanation. Across an eight hour trade fair day that is roughly forty people per simulator.
If you want everyone at a two hundred person staff party to get a turn, one simulator is a problem and four make for an evening that works. That is the first question we ask before quoting: how many people, and over how many hours.
Where it usually goes wrong
Not enough space
A simulator with motion needs not only its own footprint but room around it to move safely and to get in and out. Count on a good four square metres per rig, and on a level floor.
Not enough power
An ordinary socket is fine for one rig. With four simulators on one circuit you are at the limit. It is a question we ask up front, and one that at a trade fair regularly produces the answer "I will have to check" — so ask your stand builder in good time.
Forgetting the leaderboard
The simulator is the bait; the leaderboard is the reason people come back. Whoever sets the quickest time in the morning returns in the afternoon to see whether they are still on top. Without a screen showing a live ranking you leave half the effect on the table.

Transport within fifty kilometres of Waregem is included; beyond that we put it in the quote. We have set rigs up in garages, exhibition halls, function rooms and on car parks — the question is rarely whether it can be done, but whether there is power and a level floor.
